Fees and Refunds

This policy explains how refunds, cancellations, replacements, credits and remedies are managed for CAQA RTO. Nothing in this policy limits rights that may apply under the Australian Consumer Law. Refunds and remedies depend on the type of product or service purchased, the reason for the request, whether the product or service has been accessed or delivered, and whether a major or minor problem exists.
Who this policy applies to
This policy applies to every prospective and enrolled student of CAQA RTO, and to employers or third parties who pay course fees on a student's behalf. CAQA RTO delivers nationally recognised qualifications and skill sets to learners across Australia in online and blended mode; course fees are the only payments connected with this website, and no payment is processed through the website itself. Fees are invoiced and collected under your Enrolment Agreement after you have received the Pre-Enrolment Information Pack.
Our fee principles
- No enrolment or application fees. The advertised tuition fee is the total course cost.
- All-inclusive tuition. Learning materials, online resources, trainer support and up to two re-assessment attempts per unit are included.
- Fee protection. We never hold more than $1,500 of your money in prepaid fees at any time, consistent with the fee-protection measures under the Standards for RTOs.
- Payment options. Pay upfront, or through interest-free weekly or fortnightly payment plans (from $49 per week depending on course level).
- Optional costs only. Suggested reference textbooks (typically under $100) are never compulsory. You will need access to a computer, the internet and standard software.
- Fee-for-service courses. Where state subsidies or entitlements exist for eligible students, we will tell you what applies, including any effect on your future entitlements, before you enrol.
- Replacement documents. Testamur re-issue $35; your first record of results is free.
Refund rules
- Cooling-off period. Withdraw within 10 business days of enrolment, before commencing training, for a 100% refund of all fees paid.
- Before commencement. A full refund of all prepaid fees, with no penalty.
- After commencement. A pro-rata refund of prepaid fees for training not yet delivered. You only pay for training delivered up to your withdrawal date, and there is no separate withdrawal penalty fee.
- Provider default. If CAQA RTO cannot deliver your course, you receive a full refund of fees for undelivered training, or a transfer to an equivalent course, at your choice.
How to request a refund or withdraw
Notify us in writing at any time by emailing info@caqa.com.au with your name, USI and course. We confirm withdrawals within two business days, issue a Statement of Attainment for units you have completed (where fees are paid and your USI is verified), calculate any refund due under this policy and cancel future payment-plan instalments. Approved refunds are processed within 14 days. Our detailed fees and refund policy and withdrawal form are available as PDFs.
Information we collect for refunds
To process a refund we collect only what we need: your name, contact details, USI, course and payment records, and the reason for your request. This information is handled in accordance with our Privacy Policy and is used to assess the request, process payment and meet our record-keeping obligations.
If you disagree with a decision
Refund decisions can be appealed at no cost through our Complaints and Appeals process, and are reviewed by a person independent of the original decision. Nothing in this policy excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law, including refund rights for services that are not provided with due care and skill or are not fit for purpose.
Limits of this information
The figures and rules on this page are general information current at the review date above. Your Enrolment Agreement states the exact fees, payment schedule and refund terms for your course, and prevails over this summary if there is any difference. Fee information on this website is not financial advice; consider your circumstances or seek independent advice before committing to a payment plan.
